Yealink T54W/T57W User Guide

The Yealink T54W and T57W are modern, feature-rich desk phones that provide excellent audio quality and easy-to-use interfaces. This guide covers everyday phone operations for end users.


Phone Overview

Yealink T54W

  • 4.3" color display
  • 10 line keys with LED indicators
  • HD audio with Opus codec support
  • Built-in Bluetooth and WiFi
  • Supports up to 16 SIP accounts

Yealink T57W

  • 7" adjustable color touch screen
  • 29 touch line keys
  • HD audio with Opus codec support
  • Built-in Bluetooth and WiFi
  • Supports up to 16 SIP accounts

Making Calls

Using the Handset

  • Pick up the handset.
  • Dial the number or extension.
  • Press Send or wait for auto-dial.

Using the Speakerphone

  • Press the Speakerphone button.
  • Dial the number or extension.
  • Press Send or wait for auto-dial.

Using a Headset

  • Connect your headset (wired or Bluetooth).
  • Press the Headset button.
  • Dial the number or extension.
  • Press Send or wait for auto-dial.

Dialing an Extension

  • Simply dial the extension number (e.g., 101).

Dialing an Outside Number

  • Dial the full 10-digit phone number.

Receiving Calls

When a call comes in:

  • Handset: Pick up the handset to answer.
  • Speakerphone: Press the Speakerphone button or Answer soft key.
  • Headset: Press the Headset button.
To reject a call, press the Reject soft key.


During a Call

Hold

  • Press the Hold soft key or Hold button during a call.
  • The caller hears hold music.
  • Press Resume to return to the call.

Mute

  • Press the Mute button to mute your microphone.
  • The caller cannot hear you, but you can hear them.
  • Press Mute again to unmute.

Volume

  • Use the Volume buttons to adjust call volume during a conversation.

Call Transfer

Blind Transfer (Recommended)

Transfers the call immediately without announcing it. Preserves the original caller ID.

  • During a call, press Transfer or BlindXfer.
  • Dial the extension or number to transfer to.
  • Press Send or Transfer again.
  • The call is transferred immediately.

Attended Transfer

Allows you to announce the caller before transferring.

  • During a call, press Transfer.
  • Dial the extension or number.
  • Wait for the person to answer and announce the caller.
  • Press Transfer again to complete the transfer.
  • If they don't want the call, they hang up and you're reconnected to the original caller.

Transfer to Voicemail

Send a caller directly to someone's voicemail.

  • During a call, press Transfer.
  • Dial 99 + the extension number (e.g., 99101 for extension 101).
  • Press Send.

Call Park

Call Park places a call on hold so it can be picked up from any phone in your organization.

To Park a Call

  • During a call, press the Park soft key.
  • The call is parked and can be picked up from any extension.

To Pick Up a Parked Call

  • Press one of the Park line keys on your display showing a parked call.
  • You're connected to the parked caller.
Note: Parked calls are visible on the line keys at the top of the display for all phones in your organization.


Voicemail

Checking Voicemail

  • Press the Message button (envelope icon) or dial \97.
  • Enter your voicemail PIN when prompted.
  • Follow the voice prompts to listen to messages.

Voicemail Indicator

  • The Message button LED lights up when you have new voicemail.
  • Some phones also display a voicemail icon on screen.

Do Not Disturb (DND)

When DND is active, calls go directly to voicemail.

To Enable DND

  • Press the DND soft key.
  • The display shows DND is active.

To Disable DND

  • Press the DND soft key again.
  • Normal ringing resumes.
Note: DND resets when the phone reboots.


Speed Dial

Speed dial lets you quickly call frequently used numbers.

Using Speed Dial

  • Press the Speed soft key (if available).
  • Enter the 2-digit speed dial code.
  • Press Send.
Alternative method:
  • Dial \\ + the 2-digit speed dial code.
  • Pick up the handset or press Send.
Speed dial numbers are configured in the WebFones administration portal under your extension settings.


Call Pickup

Pick up a call ringing on another phone in your pickup group.

To Pick Up a Call

  • Dial \*0 (or \ + your pickup group code).
  • Pick up the handset.
  • You're connected to the caller.

Conference Calls

3-Way Conference

  • During a call, press the Conference soft key.
  • The first caller is placed on hold.
  • Dial the second person's number.
  • When they answer, press Conference again.
  • All three parties are now connected.
Note: For larger conference calls, use the WebFones Conference Bridge feature.


Intercom

Intercom opens hands-free, two-way communication with another extension.

To Use Intercom

  • Press the Intercom soft key.
  • Dial the extension number.
  • Press Send.
  • You're connected hands-free with the other extension.
Alternative method:
  • Dial 78 + the extension number.
Note: Intercom must be enabled on the destination extension.


Bluetooth (T54W/T57W)

Both the T54W and T57W have built-in Bluetooth for connecting wireless headsets or syncing with your mobile phone.

Pairing a Bluetooth Headset

  • Go to Menu > Basic > Bluetooth.
  • Enable Bluetooth if not already on.
  • Put your headset in pairing mode.
  • Select Scan to find devices.
  • Select your headset from the list to pair.

Display and Line Keys

The line keys on your phone display show:

  • Your extension status
  • Parked calls
  • Other extensions (if configured)
  • Speed dial buttons
  • Custom function keys
Press any line key to interact with that line or function.
