Polycom Legacy Troubleshooting

Polycom VVX phones served WebFones customers well for many years, but these devices are now 7-10 years old. Polycom ended support for VVX phones in 2022, and many units are beginning to fail or lose their settings after reboots or power outages.

Important: The fixes on this page are temporary solutions. If issues recur or other errors appear, it's time to plan for replacement. WebFones offers modern Yealink desk and cordless phones at wholesale pricing through the Administration portal or by calling us directly at 727-498-2200.


Unregistered Phone / Lost Provisioning

If your Polycom VVX phone is showing as "unregistered" or has lost its provisioning information, follow these steps to re-register it:

Provisioning Instructions

  • When the phone boots, press the CANCEL button, then press the SETUP button.
  • Enter the default password: 456
- If the phone does not accept 456, try entering 159753

  • Press the down arrow and select Provisioning Server. Press the checkmark to select.
  • Change Server Type to HTTPS. Then press select.
  • Press the down arrow to show Server Address. Enter your provisioning URL.
- Use # for / (forward slash)
- Use \ for . (period)
- Example: bwebfonescom#p3565 for b.webfones.com/p3565

  • Save and Reboot the phone.

Password Reset / "Set Default Password" Screen

If you see a prompt asking you to enter passwords, this is a known issue with aging Polycom VVX phones. Follow these steps to fix it:

Steps to Set the Password

  • Enter 456 into the old password field.
  • Press the down arrow to go to the next input field.
  • Enter 159753 (the WebFones default password).
  • Press the down arrow again to go to the next input field.
  • Enter 159753 again to confirm the password.
  • Press the Enter button.
This will save the password and should make the phone boot normally.


Full Reset Procedure

If the password steps above do not fix the issue, follow this expanded procedure:

Step 1: Reset the Phone to Defaults

  • When the phone boots, press the CANCEL button, followed by the SETUP button.
  • Scroll to the bottom and select Reset to Defaults.

Step 2: Set the Password

  • Enter 456 into the old password field.
  • Press the down arrow to go to the next input field.
  • Enter 159753 (the WebFones default password).
  • Press the down arrow again to go to the next input field.
  • Enter 159753 again to confirm the password.
  • Press the Enter button.

Step 3: Set the Provisioning Information

  • When the phone boots, press the CANCEL button, followed by the SETUP button.
  • Enter the password 159753 which you previously set.
  • Press the down arrow and select Provisioning Server. Press the checkmark to select.
  • Change Server Type to HTTPS. Then press select.
  • Press the down arrow to show Server Address. Enter your provisioning URL.

for . (period)

  • Save and Reboot the phone.

Time to Upgrade?

If you find that your Polycom phones have repeated problems with provisioning, passwords, or registration, it's a clear sign that the hardware has reached end of life.
